1. About this policy

This policy explains how Davinchi Limited, trading as PolkaGrid ("PolkaGrid", "we", "us"), collects, uses, and protects personal information when you use polkagrid.com.

We handle personal information in accordance with the New Zealand Privacy Act 2020 and the Information Privacy Principles. Where we hold personal information about individuals in Australia, we apply the same standards.

2. What we collect

We deliberately collect as little as possible. When you buy a policy, we collect:

• Your email address, provided at checkout, so we can send you your documents and respond to you.
• Your organisation name and the answers you give in the questionnaire (organisation type, jurisdiction, policy stance, and scope). These are used to select and personalise your documents.
• A record that you accepted our Terms of Use, and the time you did so.

If you send us a message through the contact form, we collect the email address, organisation name, and message you provide, so that we can reply.

We also record standard server logs when our site is used, which may include your IP address and technical details of your request.

3. What we do not collect

To be clear about the things people often expect us to collect:

• Payment details. Card payments are handled entirely by Stripe. We never see or hold your card number.
• Your logo. If you add a logo, it is read by your own browser to show you a preview. It is not uploaded to us and never leaves your device.
• Analytics or tracking. We do not run analytics, advertising, or behavioural tracking on this site.
• Anyone else's personal information. We do not ask for information about your staff, students, or customers, and you should not enter it into the questionnaire.

4. How we use it

We use your information only to:

• generate and deliver the documents you have purchased;
• respond to your questions and support requests;
• keep records required for tax and accounting purposes; and
• operate and secure the website.

We do not send you marketing emails.

We do not sell your personal information, use it for advertising, or use the content of your documents for any purpose other than delivering them to you.

5. Who we share it with

We use a small number of service providers to run PolkaGrid:

• Stripe, which processes your payment and holds your email address and the questionnaire answers as part of the payment record.
• Resend, which sends the email containing your documents, and our contact form messages.
• Vercel, which hosts the website and its server functions, and holds server logs.

We may also disclose information to our professional advisors where reasonably necessary, or to authorities where required by law.

We do not use AI services to generate your documents. Your documents are produced from our own prepared templates, so your information is not sent to any AI provider.

6. Where it is stored

Our service providers store information outside New Zealand, primarily in the United States. By using PolkaGrid you consent to your personal information being transferred to and held in those jurisdictions. We take reasonable steps to satisfy ourselves that these providers protect personal information to standards comparable to those required under the Privacy Act 2020.

7. How long we keep it

PolkaGrid does not operate a customer database. Your questionnaire answers are not stored on our own systems: your documents are generated at the time of purchase and emailed to you.

We do keep a copy of the email we send you, including the documents attached to it, as our record of exactly what was delivered. We keep that record for 2 years from the date of purchase, and then delete it.

Information held by our service providers is kept as follows:

• Payment and order records held by Stripe are retained for 7 years, to meet tax and accounting obligations. These records include your email address and the answers you gave in the questionnaire.
• Email delivery records held by Resend are retained in line with that provider's standard retention.
• Server logs are retained for a short period in line with our hosting provider's standard retention.

8. Your rights

Under the Privacy Act 2020 you have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it is wrong. Contact us at hello@polkagrid.com and we will respond within 20 working days.

You may also complain to the Office of the Privacy Commissioner at privacy.org.nz.

9. Cookies

We do not use cookies or similar tracking technologies on this site. Stripe may set cookies on its own checkout pages, which are governed by Stripe's privacy policy.

10. Security

We take reasonable steps to protect personal information. We do not operate a customer database, and the information we hold is limited to your delivery record and what our service providers hold on our behalf. Payments are handled by Stripe and our site is served over an encrypted connection.

No system is completely secure. If a privacy breach occurs that is likely to cause serious harm, we will notify affected people and the Office of the Privacy Commissioner as required by the Privacy Act 2020.

11. Children

PolkaGrid is sold to organisations and is not directed at children. We do not knowingly collect personal information from children.

12. Changes

We may update this policy from time to time. The current version is always available on this page.
